Position Overview:

We are seeking a highly organized and detail-oriented Medical Office Administrator to join our healthcare facility. As a Medical Office Administrator, you will be responsible for managing the administrative operations of our medical facility, ensuring smooth workflow, and providing excellent customer service to patients. Your primary responsibilities will include managing patient records, scheduling appointments, coordinating patient referrals, and handling billing and insurance claims.

Responsibilities:

1. Patient Reception and Appointment Management:

  • Greet patients, answer phone calls, and respond to inquiries in a professional and courteous manner.
  • Schedule and confirm patient appointments, ensuring efficient use of healthcare providers' time and minimizing patient wait times.
  • Collect and update patient information, including personal and insurance details, accurately and confidentially.
  • Provide necessary forms and paperwork to patients, ensuring completion and accuracy.

2. Patient Records Management::

  • Create and maintain electronic and paper patient records, ensuring accuracy, confidentiality, and compliance with legal and regulatory requirements.
  • Update patient records with relevant medical and personal information, including test results, referrals, and treatment plans.
  • Retrieve and file patient records as needed, ensuring easy accessibility and organization.

3. Billing and Insurance Coordination:

  • Verify patient insurance coverage and eligibility, and communicate with insurance providers to obtain necessary authorizations.
  • Prepare and submit accurate insurance claims and follow up on outstanding claims to ensure timely reimbursement.
  • Collect and process patient payments, including copays, deductibles, and outstanding balances.
  • Assist patients with insurance-related inquiries and provide guidance on coverage and billing matters.

4. Administrative Support:

  • Coordinate and schedule meetings, conferences, and appointments for healthcare providers and management staff.
  • Maintain office supplies inventory, order supplies as needed, and ensure stock levels are adequate.
  • Assist in the preparation and distribution of reports, memos, and correspondence.
  • Perform general administrative tasks, such as filing, scanning, faxing, and data entry.
  • Order medical and office supplies as requested by the health professional
  • Supervise office staff, including receptionists, secretaries, cleaners, security guard and cashiers
  • Manage receivable and payable accounts and maintain financial records.

5. Compliance and Quality Assurance:

  • Ensure compliance with relevant healthcare laws and regulations,
  • Maintain knowledge of current industry standards and best practices related to medical office administration.
  • Participate in quality improvement initiatives and contribute to the development of office policies and procedures.

Qualifications:

1. Education and Certification:

  • High school diploma or equivalent is required.
  • Completion of a medical office administration program or relevant certification is preferred.

2. Experience:

  • Previous experience working in a medical office or healthcare setting is highly desirable.
  • Familiarity with medical terminology, patient records management, and insurance
  • billing processes is an asset.

3. Skills and Abilities:

  • Strong organizational and time management skills, with the ability to multitask and prioritize workload effectively.
  • Excellent interpersonal and communication skills, with the ability to interact professionally and compassionately with patients, healthcare providers, and colleagues.
  • Proficiency in using medical office software systems and electronic health records (EHR).
  • Attention to detail and accuracy in maintaining patient records and handling billing and insurance claims.
  • Ability to maintain confidentiality and adhere to ethical standards.
